Here we will review the different buttons along the bottom of the encounter chart. To become more familiar with section, you can review the video here.
Accessing The eChart:
This can be done a number of ways, such as using the E short cut from a scheduled appointment, or on a patient search:
Now that we have accessed the eChart, lets review the encounter buttons.
We will review each, moving from left to right.
Save:
The image of a floppy disk will save a draft of the encounter note being entered. Though there is an internal save completed, it is recommended that if you're closing the eChart without signing off an encounter note, that a Save Draft be completed to ensure that none of the note is missed.
New Note:
This blank white page icon will populate a new encounter note at the bottom of the chart to be utilized. Typically a new note should always be available when opening up the eChart permitting all previous entries were Signed off.
Please note, that when accessing the eChart, if there is an unsigned note from the last encounter with the patient, your cursor will automatically flash and load in that unsigned note:
In order to obtain a new note, we would want to use one of the Sign Off buttons in order to close off the previous note. This will ensure that the next appointment for the patient will load with a fresh blank note with matching date.
New Free Drawing:
This icon will load a drawing window to be able to draw with your mouse. The image will then be saved within the eChart under Free Drawing.
Please note, in order to load images under Free Drawing, the images first need to be uploaded to the eDoc section with the Document Type of Free Draw:
Sign Save & Exit:
The white pad with a blue arrow will Sign Save and Exit the patient eChart. This will close off the encounter note with your signature and date/time stamp it.
Please be aware that if you do not wish to have the eChart close after you Sign off an encounter note, there is a Preference to turn that part of this button off. Preferences are specific to each provider's login, so doing this will not affect all users on the EMR.
When using the Sign Save and Exit button, the encounter note box on the appointment will update to white:
Sign Save and Verify:
The icon of the cup with pens and pencil represents Sign Save and Verify. This signing option would be used when a provider needs to verify another provider's entry. This could occur when a resident, student or MOA has made a note that needs to reviewed by the lead practitioner.
This option will close off the note with the provider's signature and date/time stamp.
When using the Sign Save and Verify button, the encounter note box on the appointment will change to orange:
Sign Save and Bill:
The dollar sign icon will sign and save the encounter note, and then load the invoice creation page to bill for that encounter:
The encounter box on the appointment will be white, the same as the Sign Save and Exit.
Exit:
The icon of the closing door will close the eChart window. This button can be used, or the X in the top right corner of your browser window:
Attachment Manager:
The yellow paper and paper clip icon is called the Attachment Manager. This tool allows you to create combined PDF documents of the patient chart, or fax out items of the chart, or save items to be emailed using Ocean integration.
To become more familiar with this feature, you can review this article here.
Print Notes:
The last icon of a printer allows a provider to print certain areas of the patient chart, or fax them out:
The Attachment Manager includes more areas of the patient chart to be faxed/printed, but this tool still allows you to be able to enable the areas to be included, and a date range is able to be entered as well.
