Here we will review some common problems that providers may encounter regarding the schedule and ways to resolve.
Expanded Appointment:
A scheduled appointment is typically displayed along a single time slot on one line:
However, an appointment can appear expanded over multiple lines:
RESOLUTION: An administrative setting would need to be disabled by going to Administration > Schedule Management > Display Settings:
From here the first setting 'Display Appointment Type On Schedules' would need to be set to 'No' and then Save!
Please note that any changes made under the Administrative panel will be applied to the whole EMR.
Error 500 Creating Appointments:
After clicking on a time slot to book an appointment the window that loads shows an Error 500:
RESOLUTION: Clear your cache within your Chrome browser. Here are some steps on how to clear your cache:
Clearing Cache on Windows:
- In Chrome Browser, select CTRL + SHIFT + DELETE on the keyboard to bring up the Clear Browsing Data window
- Select Advanced tab
- Ensure that time range is set to All Time
- Ensure 'Cached image and files' is selected (everything else can be unchecked)
- Click 'Clear data'
Clearing Cache on Mac:
- In the Chrome Browser, press Shift + Command + Delete on the keyboard
- On the browser toolbar, click the Chrome menu icon.
- Select the More Tools link.
- Select the Clear browsing data link.
- In the data drop-down menu, select the time range where you want to clear browsing data (All Time)
- Select Cached images and files checkboxes.
- Click the Clear Browsing Data button.
This happens when the provider loaded does not have a schedule template assigned to them indicating the system that they're on schedule for the day.
RESOLUTION: For immediate access to the schedule to book, the ALL button in the top left corner will load the schedule:
To avoid issue from recurring, a Schedule Template needs to be assigned to the provider by going to Administration > Schedule Management > Schedule Setting.
Here the provider can be selected and enter in the desired time period, and Next to apply. If you have a template available, that can also be assigned to the provider for certain days of the week. To become more familiar with Schedule Templates, you can check out this video HERE.
Missing Appointment Links:
Typically on a scheduled appointment there are links (E, B, M, Rx) available to access different parts of the patient's chart:
However, you may encounter a view that has links limited:
Only the M - Master Record link will be available when in a Week view for a provider.
RESOLUTION: The date at the top of the appointment column can be clicked to load that date, or you can click Today in the top left corner to load today's date:
Once reverted back to a day schedule, all the links will be available. The W button beside the provider name can be clicked again to load the Week View back:
Missing Appointment Reason:
After booking an appointment with a reason entered, it is not showing on the scheduled appointment:
RESOLUTION: In a solo provider clinic, the asterisk needs to be clicked to load the appointment reason:
In a multi provider clinic, a Preference can be set to show for all providers. This can be done by clicking on Preferences and a check mark beside this option:
The appointment reason will now show on any provider's schedule that is loaded.
Please note that displaying the appointment reason is a provider setting and would need to be set per provider when they're logged into the system.
