Booking An Appointment:
First, we would need to ensure that the correct provider schedule is loaded and the correct date is indicated on the schedule. The provider's schedule will be visible at the top of the schedule, and can be selected from the top right Group drop down:
In this example, Lisa is booking an appointment for Beth Benn on May 28th, 2025.
Now a time slot would need to be clicked to open the Make An Appointment window:
By clicking 10:30am it loaded that time and date for the appointment.
The duration will load based on a schedule template of the provider, or a preference setting. This area can be manually adjusted if required.
The Name box will be where you're going to search for a patient by Last Name, First Name and click Search to link the appointment to a chart:
A Reason can be manually entered, or selected from the drop down located above the Reason box:
The Location is generally used for a Multi Site system, but it could be used to indicate a room that the patient has been placed in for the appointment.
On the right side, Status is a colour aid that will be visible on the schedule to represent the appointment progress. For instance the first Status will be Booked, then the next would be Checked In/ Arrived/ Here. Here is a link to a video on how to utilize this feature: Appointment Status
Type is a feature that allows you to create an appointment template that can populate the appointment fields after selecting a certain Type. This can aid in the efficiency and time spent creating appointments. Here is a link for this feature: Appointment Types
The Notes box can be used for tasks, or advisements regarding patient and appointment. For instance - take HT and WT, or Get Gown, Update HIN.
Resources is not mandatory, but you can enter in any equipment that may be required for the appointment.
An appointment can be marked as Critical to add a hazard symbol to the appointment:
When ready, we will click Add Appointment:
Edit An Appointment:
An appointment can be edited by clicking on the patient name from the booked appointment:
Any of the appointment details can be modified, and then Update Appt to save changes entered. An appointment may be edited for the date, duration, reason, or the Status. Here is a link to a video on editing appointments: Edit Appointment
If updating the appointment status, this can also be edited by clicking on the appointment status icon from the appointment.
In this case, the file folder represent Booked, and after clicked it becomes an open file folder for the appointment status Arrived/ Checked In/ Here:
Moving Appointments Copy/ Cut/ Move/ Paste:
To get more familiar with this feature in action, you can check out this short video: Copy/Cut/Move/ Paste Appointments
Copy: This allows you to be able to copy the details of the appointment to create a new appointment. For instance, if the patient has finished their first appointment and now you need to book their follow up appointment. The steps for editing an appointment would be used, so we would click on the patient name to open the Edit An Appointment window:
Once copied, the appointment window will close automatically. You would then need to navigate to the next date on the schedule to book - using the Calendar button, or maybe just the Week view. Once date is loaded, you can click time slot and Paste:
The details of the follow up appointment can be altered before clicking Add Appointment, such as the Reason. We have now booked Samantha's follow up appointment with Beth for August 27th, 2025.
Cut: This allows you to remove an appointment from a current spot on the schedule and paste it into a different spot. For instance, if a patient is running late for an appointment and you need to shift the appointment to a later time. Similar to Copy, we will click on the patient name to open the Edit An Appointment window, and click Cut:
We then can navigate to a different time slot to Paste, same as above.
Move: This allows you to move the original appointment and maintain all the original appointment details, such as the Creator:
We can note that the Creator of the appointment is Beth Benn, after we Move and Paste the appointment, those details will be maintained:
In this example, the patient was only moved to later in the day for the same provider, but we can see that the Creation Date and Creator of the appointment were kept .
