You can become more familiar with this by watching the video HERE.
Any Consultation Requests created from the OSCAR EMR will be accessible from the Consultations tab along the green tool bar on the schedule page:
From here you're able to complete filters and searches to help manage the referrals created from the clinic.
Please note that Completed Consultation Requests are not laded in this report automatically, a checkmark needs to be placed Include Completed:
There are different ways to complete a search from this report.
Teams:
There is an option to assign a Team to a Consultation Request, and then that Team can be loaded in the report by selecting the Team and clicking Consultation Requests For This Team:
A Team filter can be used to differentiate between services (Mental Health, Cardiology, etc..) or it could be used for different referral doctors from within the clinic by using their names/initials (LM, BB, Lisa, Beth, etc...).
To learn more about Teams, you can check out this video HERE.
Column Filters:
The column headers can be clicked to change how the items are loaded in the report.
Status will group every status together:
Urgency and Team will group them together based on the Team or Urgency set.
Service and Consultant can be used to group them together to see how frequently the clinic refers to certain providers and for which services:
In our example, we can see that the training site referred to Agent Colson 6 times, and to Lab Facility 5 times.
The column filters are an easy way to quickly filter the generated report.
Consultation Status Search:
A Consultation Status can be searched by a status, or ALL of them at once. This report can be done by a date range. The date entered can be a general date, or it can be marked off to indicate Appt Date or Referral Date:
Once the date and Consultation Status parameters are entered, the Consultation Requests For This Team needs to be clicked to generate the report.
The Consultation Status can be updated by opening the Consultation Request and changing the radio button on the lefthand side. By updating the Consultation Request status it is easier to know referrals that have not been booked yet.
Access Consultation Request:
The Consultation Request can be opened from a couple different links in this report, those are:
Team
Service
Consultant
Last Follow Up
Please note the patient's eChart can be accessed by clicking on their name in the report.
The Las Follow Up can be updated with the date that you have contacted the referral office for any pending updates:
When updating the Last Follow Up date, the Consultation Status can be updated on the left side and then Update Consultation Request along the top to save those changes.
The report will then update with the Last Follow Up date entered:
The Last Follow Up date is a column that can be clicked to filter and see when items have been follow up on, and which ones are pending.
Ticklers:
Consultation Requests that are in a red colour means that they have been in the ND - Nothing Done status for weeks without update.
Consultation Requests in blue are newly created, or have been updated recently.
At the bottom of the generated report is an option to automatically generate Ticklers for referrals that need to be updated.
If clicked, this will assign all Ticklers to the provider that clicked the link.
Those Ticklers will then be available automatically under the Tickler tab to action:
The Message in the Tickler will state that the patient has a Consultation Letter with a status of Nothing Done for over one week.
It is important to review the Consultations tab to better manage the clinic's referrals.
