Here we will be going over how to book repeat/ recurring appointments easily and efficiently to improve workflow.
To get more familiar with this feature, you can check out this mini video: Repeat Appointments
This feature can be used to book repeat appointments for a patient, to block time off internally, entering in lunch breaks or vacations as well.
Repeat Appointment Creation:
To begin, we will need to load the schedule for the correct provider, and click on the time slot to book the appointment, here is a link on booking appointments: Creating Appointments
The appointment should be set up as you wish for it to be booked for all the appointments. For instance, search for the patient, enter in the reason, set the status, etc... In order to create multiple appointments at once, we will need to click on the R in the bottom right corner of the Make An Appointment window:
This will open a new window where you can set the parameters for the Repeat Booking. In our example, we will book a Bi-Weekly appointment for a patient for 6 months.
Here you can select how often to book - daily, weekly, monthly or annually.
Next, we need to indicate how frequently we want it to occur. Above we set it to Every 2 Weeks for a bi-weekly appointment.
End On, will indicate the date that the Repeat Booking will end, a date can be selected with the 3 dots.
Lastly, we click Add Recurring Appointment to save and add the appointments.
The booked appointments can be reviewed a couple of ways, you can open the Edit An Appointment window to see the Appointment Overview:
The patient's appointment history can be seen from their Master Record:
As mentioned previously, this can also be used to add Lunch breaks, or vacations. Instead of entering in a patient name, you can enter something to the affect of Lunch, Vacation, or Team Meeting. The duration and reason box can be updated if required, and then click R. This can be set Daily, Every 1 Day, and then select the end date.
Update Repeat Booking Appointment:
A Recurring Appointment can be updated to edit at any time, for instance if you need to end it, or change duration.
This can be done by opening the first appointment that you wish to edit in the string of appointments and select R again the bottom right corner.
A date can be entered, and then there are buttons for Recurring Update, or Recurring Delete to remove the scheduled appointments.
We can see in the Appointment History that the July appointments have now been marked as Deleted:
Cancel Repeat Appointments:
The Recurring Appointment can be updated to the Cancelled status instead of being deleted by using the Recurring Cancel button:
By setting the end of August as the End date in our scenario, we have deleted the August appointments, but they remain on our schedule in the Cancelled status:
