Here we will be going over how to modify and use an Appointment Status.
An Appointment Status involves assigning a colour to the different stages of an appointment. This works as a visual aid on the schedule.
Here is a link to a video: Appointment Status
An example of an Appointment Status would be marking the patient as Here or Arrived, this will notify all providers viewing the schedule, that the patient is now in the waiting room.
To modify an Appointment Status you would want to navigate to Administration > Schedule Management > Appointment Status Setting:
To update the Description or Colour, you would want to click on Edit to the right of the Appointment Status that you wish to modify. This will open a new window:
The Description can be entered, and the colour can be changed by moving the dot around within the colour wheel. Once completed, Submit will save your changes.
An Appointment Status can be Enabled or Disabled as well. If an Appointment Status is set to Disable, it will not be visible when creating a new appointment.
If you require new options for Appointment Status, please contact support for assistance.
The Appointment Status can be set 3 different ways from the schedule. To review making appointments, there is this video link: Appointment Booking
First, from the Make An Appointment, or Edit An Appointment windows the Status menu can be manually selected and then Add/ Update Appointment:
The schedule will update with the new assigned colour for the appointment:
Secondly, the Appointment Status can be set automatically when creating a new appointment with an Appointment Type. When creating an Appointment Type there is the ability to link it to a specific Appointment Status so that when booking and using the Appointment Type, the Appointment Status will update accordingly.
To become more familiar with how to link Appointment Types with Appointment Statuses, you can check out this video HERE.
When creating a new appointment the Appointment Type can be selected to automatically assign the Appointment Status:
Thirdly, the Appointment Status is also managed by the icon to the far left of the appointment. In the picture above, it is the closed file folder, and open file folder icons. By hovering your mouse over the icon, it will show the description of the Appointment Status.
By clicking directly on the file folder, it will move you forward in the different Appointment Statuses. For instance, if Gizmo Test arrived for their appointment I could click on the closed file folder to update the Appointment Status from Booked to Checked In:
