Here we will review the IncomingDocs feature available within the Classic Inbox interface. This area allows for different Document folders, which can aid in Document Management.
In order to utilize this feature, you would need to have the Pro Inbox disabled. This is done from the shield icon in the top left corner of the schedule:
The toggle for Inbox should be disabled for the Classic Inbox to be available. This is specific to the provider logged in, anyone that wishes to use the IncomingDocs feature will need to make interface adjustment.
We can now click on the * to load the Unclaimed Inbox, or click on Inbox to load personal Inbox page, and then IncomingDocs in the top right corner:
This will load a new window to manage faxes and scans:
The IncomingDocs window is broken down into 3 sections.
Queue:
Multiple queues can be created, provider access would need to be assigned to be able to load the different Queues. This can be handy in managing a larger clinic and different physicians/ multiple fax numbers. You can contact support for assistance in creating additional queues other than the Default available.
There are 4 folders available for the documents: Fax, Mail, File and Refile
In the picture above Fax is selected, and then below is a drop down available to select a document to view. Fax is typically where the faxes would be received to the Inbox.
The other 3 folders available would be used when uploading new scans to the IncomingDocs section. We will cover uploading new docs below.
The buttons available allow you to select a different document to load, if not selecting from the drop down available. The buttons are First, Previous, Next, Last - this helps in moving between the different documents.
Page:
Next, is a Page box to help manage the documents:
From here you can manage the pages within the document selected. There are options for rotating, should you need to correct a scan or a fax received.
Extract Page button allows you to Split Documents. A pop up window will load to indicate the number of pages to be extracted. Here we would type 1-4 to extract those pages, and then 4-9 for the remaining pages. This will create new smaller documents to be assigned out.
Our Fax queue has now increased to 3 documents after extracting the first page:
The buttons - First, Previous, Next, Last - allows you to navigate within the document selected.
Date Entry Mode:
In this section, the document can be assigned to a provider and a patient chart. There are two modes for this, Normal and Fast. Below is a Normal display:
In the Normal view the document would need a Type, Class, Sub Class, Description prior to assigning it to a patient demographic.
The Sub Class entry will automatically load in the Description box after clicking your cursor into that box.
A patient chart can be searched to assign the document by their Last Name, First Name.
The M button will open the Master Record of the patient.
The H button will open the patient's appointment history window.
There is also the option to Create New Demographic for new referrals received.
The MRP will automatically be flagged, but you can manually type in a provider to flag as well.
Save & Next will clear out the current document and move to the next one.
Here is the Fast option:
The Fast option will provide buttons for the Document Type, and then buttons for the providers to be clicked instead of typing out.
Uploading Scans:
Scans can be uploaded from the Doc Upload tab available in the top right corner of the Inbox window:
From the new window the Add Files button would need to be used to select the scans to be uploaded from your computer.
The Destination needs to be set to Incoming Docs.
The Queue can be selected if multiple queues are available.
The Folder would need to be selected as well.
Finally Start Upload to bring the scans into the IncomingDocs folder.
Once uploaded the items would then be available under IncomingDocs to be assigned to patients and providers.
