Here we will be going over how to validate an Ontario health card 5 different ways. The validation is done in real time, pinging the MOH to obtain a current valid response.

Health Card Validation:
When a card is validated a response will come back in red for Invalid and green for Valid:

Under the card status and valid response will show Action Required advising on what steps can be done next.
If any information in the Master Record does not match what the MOH has linked to that health card number, an Update Demographic button will be located at the top of the validation window. This button can be used to refresh the Master Record with the updated information. This update can vary in details, such as a typo in the patient demographics, a new version code if the patient has updated it from last clinic visit, or the expiration date.
If the patient is on schedule for that day when the card is being validated, a Mark Here button will be visible as well:
That button will update the appointment status to Here/Arrived, changing the colour of the appointment:
Now we will go over the 5 different areas for Health Card Validation.
Master Record:
On the right side of the Master Record is a Validate HC link in blue beside the Health Card Insurance number:
This will validate the individual patient chart.
Edit An Appointment Window:
By clicking on the patient name from a scheduled appointment, the Edit An Appointment window will load:
Within the patient's Demographics is a Validate HC link in blue that will validate the individual patient chart.
Search Patient Bar:
The built in patient search bar that is on the top of the schedule will complete a health card validation if the health card number is entered with the version code:
After entering in the health card number and version code, you can either click Enter on your keyboard, or click the Go button in green.
This will validate the individual patient chart.
Invoice Creation Page:
When creating an invoice you can click on the HIN health card number shown to validate the card:
This will validate for the individual patient chart.
HCV - Bulk Health Card Validation:
The HCV button is located in the top left corner of the schedule:
This button will ping the MOH in real time and provide a health card validation for all booked appointments for the date loaded. In the example above, we're validating for all appointments on June 4th, 2025 for the provider selected on the schedule.
This will load a new window listing any patients with invalid or out of province health card information:
This validation will not show Valid health card matches.
From the HCV report generated, the patient name can be clicked to open their Master Record, should you need to update any information. The Master Record can be opened from either the First Name or the Last Name.
Please be aware that this feature is only validating the cards, it is not generating new version codes.
