In this video, I walk you through the process of health card validation within the Ontario system. There are five key areas to complete this validation, including the patient's master record and the appointment window. I also explain how to use the built-in patient search bar and the bulk health card validation option. Please make sure to familiarize yourself with these methods, as they are essential for our workflow.
0:00 Hi there. In today's training video we're going to be going over health card validation within your Ontario
system. There are five different areas in order to complete a health card validation.
0:14 One of those is going to be from your patient's master record. So I'm just going to click on an M from one of
our appointments here and you'll see a validate HC option on the far right beside your health insurance information.
0:28 By clicking on any of the validation links within Oscar, it's going to, ping the ministry in real time giving you a
validation response.
0:36 It'll show as invalid in red with a response code should the card be expired or invalid. And it'll show as green
valid with a different response, with an indication of services being paid for that So the master record is one of your
areas that you're able to complete your validation.
0:58 You can also complete a validation from the appointment window. So by clicking on the patient's name, that
will load your Edit an Appointment window, and you will see that there is another Validate HC option beside the
patient's demographics.
1:15 The third area that you can complete a validation is going to be with your built-in patient search bar. By entering
in the health card number from here with your version code and either clicking your Enter or clicking the Go button
on the far right, that will, again, ping the ministry with a validation.
1:39 Should any of the information, that with the health card number on the ministry's end be different from your
information within your master record, you will receive a update demographic button.
1:51 By clicking on the update demographic, it'll refresh your master record, updating any of that information to
match what the ministry has on file.
2:00 Mostly that is your expiration information, if for instance the version code has been updated since the last time
the fee was patient has seen and been in the clinic, that'll also be updated for instance as well.
2:12 Your search bar built-in validation will also help with creating new patient records. You can check at our help
portal on how to create a patient record based on the health card information.
2:24 Your fourth area to complete your validation is going to be from your billing page. If I click on the B, that is
going to load your invoice creation and if I click on the health card number from here, that will also send again
another validation ping to the ministry.
2:44 Lastly, we have a bulk health card validation option that is built-in to your schedule with the HCV button that is
located in the far left corner.
2:55 By clicking on your HCV button, it'll validate the entire day's schedule for whichever date you are you have
loaded. In this case, it's going to validate for June 4th, and it's validating for the provider schedule that we have
loaded.
3:09 By clicking that, it's going to validate all of the, booked appointments and only display ones that are invalid. Any
valid cards will be bypassed in this report.
3:21 Please note that you cannot validate any cards that are out of province. You can only validate your Ontario
health cards.
3:29 From this report you are able to open up the patient's master record and that can be opened up by either
clicking on the patient's name or you can also open it by clicking on the patient's first name.
3:44 That'll open up to your master record where you're able to make any adjustments should you need to with the
edit option in the top left.
3:51 Please note that the validations that you are completing within your OSCAR system is only advising on whether
or not the card is valid or invalid.
