Manage Contacts is a feature available within the patient's Master Record which allows charts to be linked.
Charts can be linked for Personal and Professional purposes. In this article we will review both methods.
Personal: Linking family members in a Master Record
- First we want to open the Master Record and click on Manage Contacts:
- From here a new window will load and we will want to click Add:
- A new window will load where we can select Personal and search for a local chart to be linked
- The patient name can be entered in the Last Name box, and the magnifying glass selected to pull up the patient search window:
- The demographic number will need to be clicked to select the patient:
- On the Add Contact window, the final information can be entered.
- Fields that can be then assigned would include the Role, where you can enter in a family relation:

- Option to enter in if you have Consent to contact them, and their preferred method of contact:
- At the bottom of the page, you can indicate if they're the Secondary Decision Maker, or if they're the Emergency Contact:
- Finally, Save at the bottom to update the record
- By accessing the Master Record, you'll see that the family member has now been added to the first chart:
- This shows the Relationship, preferred contact, and that they're the Emergency Contact (EC) and Secondary Decision Maker (SDM)
- This allows providers a Master Record (M) link and an eChart (E) link
- If we open up the family member's chart, we can note that it has also been linked in the other direction:
Please note that the chart has been linked, but no additional details are present until updated regarding consent, preferred method and the Emergency Contact or Secondary Decision Maker
A Personal entry can be entered for a family member, even if they do not have a chart within your EMR. The External tab would be selected:
The First and Last Name can be entered, and the Contact information entered in manually.
Even though there is no chart access, staff is able to reference the Contact information easily:
Professional: Linking Health Care Team Members
- Additional health care members that care for the patient can also be linked to the Master Record for quick reference
- From the patient's Master Record we will click the Manage Contacts link and Add on the new window that opens (see pictures above in the Personal portion)
- Here we can mark off Professional, and select Professional Specialist from the drop down to search for a provider from your Consultations Specialist Listing:
- A last name can be entered, and the magnifying glass selected to pull up the Specialist Listing to select your contact
- If you wish to have this also visible from the patient eChart under Health Care Team on the right side, a checkmark can be entered to Include in Health Care Team
Here is our Master Record with the 3 Contacts entered:
