In this article we will review how to use the Site Number on a Private 3rd Party bill for different insurance companies.
This additional setting on the invoice can then be searched in Invoice Report by each insurance company instead of loading one large 3rd Party Bill Patient report.
Adding Site Numbers:
In order to create a Site Number you will need to navigate to Administration > Billing > Add Billing Location:
From here a 4 digit number can be entered in for a Code and the Description will have the name of the Insurance Company.
For example:
0001 Sunlife
0002 Morcare
0003 UHIP
When entering in the codes and descriptions, 5 can be added at once, just click Add to save:
Once added, they will then be available to select when creating new invoices.
Using Site Number On Invoice:
From the Invoice Creation page, the Site Number can be updated from the top:
Patients without any provincial health insurance entered in their Master Record will load automatically as 3rd Party Billing Type.
Insurance information can be stored in the Manage Billing address book for quick searches to update new invoices Bill To information.
To add a new insurance company to the Manage Billing address book, you'd need to click on the Manage Billing link in green below the Bill To box:
From here we want to click on Add/Edit Address.
A new window will load where you can search for a Company Name to receive the prompt that it is new and that it can be added, this helps prevent duplicates from being added to the system:
After entering in the information, you can click Save!
Once added to the Manage Billing address book, it can then be searched quickly for any patient:
After searching the option will load and you can click enter on key board or select option with your mouse, this will update the Bill To information from the patient's to the Insurance Company:
The invoice can then be saved and faxed to the insurance company using the Attachment Manager from the patient's eChart.
Invoice Reports:
An Invoice Report can be run using the Site Number filter to load only a specific Insurance Company instead of loading all loading all private invoices with the Bill Patient pay program and billing status.
In order to run an Invoice Report you will need to navigate to Administration > Billing > Invoice Reports:
The report can be run by:
- Provider or All Providers
- Service Date Range or Payments Applied Dates
- Site Number filter for each location/insurance company
- Bill Patient pay program with check boxes along the top
- Invoice Status - All, Bill Patient or Settled/Paid
Click Create Report when all search parameters have been entered into the report.
The Site Number will list the Location, in this case for private invoices, the Insurance Company.
Any generated report can be exported to Excel or CSV.
If we load for Bill Patient without a Site Number filter, it will still display that information, but will load for all Site Numbers:
The Location of Not Applicable indicates that no Site Number was assigned to the invoice.
Insurance Information In Master Record:
The private Insurance information can be stored in the patient's Master Record.
We need to click Edit to open the Master Record up for modifications:
There is an Enrollment Status option available called BI - Bill Insurance:
The Bill Insurance option will load an additional field called Insurance Company which can then be set.
Please note that the Insurance Company options are populated based on organizations added to the Manage Billing address book available on invoice creation.
There is also an Insurance No box as well to keep that information on file if required.
