Below is a step by step guide on creating a new user in OSCAR. Any user with existing Administration access can perform these steps.
NOTE: If a new medical (physician) account needs to be created, please fill out our New Clinician Addition Form.
The 3 Main Steps for New User Creation:
Once the three steps below are completed successfully, the user can be provided their username, password and pin, and login successfully:
- Creating a provider record (profile)
- Creating a security record (user account)
- Assigning provider roles (access)
The steps below are optional:

1) Creating A provider Record
- Navigate to Administration > User Management > Add a Provider Record
- Click "Suggest" to auto-populate the Provider No (or enter desired number)
- Enter the following at minimum
- Last Name
- First Name
- Select desired type, Doctor, admin etc - for billing submissions it must be set to Doctor.
- Optional:
- Uncheck 'Has Schedule' if you do not wish for this provider to display in the Schedule dropdown
- Uncheck 'Receives Ticklers' if you do not wish for this provider to display in the Tickler dropdowns
- Click Add Provider Record at the bottom to save
2) Creating a Security Record
- Navigate to Administration Panel > User Management > Add a Login Record
- Enter desired user name in the 'User Name' field
- Enter the same desired password in the two password fields. (At least 8 characters, numbers and symbols)
- Select Provider No. to link to this user account (i.e the one created in step 1 above)
- Enter desired PIN (twice) NOTE: With Pro Authentication the PIN is not needed.
- Set Force Password Reset to True or False
- True = User will be asked to set up their own secure password upon login
- False = User will not be asked to set up their own password upon login
- Click Add Record to save user
3) Assigning Role to Provider
- Navigate to Administration Panel > User Management > Assign Role to Provider
- Locate the desired provider (may use CTRL+F shortcut to search for a keyword)
- Use the dropdown to select a desired role (eg. Doctor)
- Click Add to add the associated role to the provider
- Continue selecting roles from dropdown and clicking Add to add them to the provider
- Unless advised otherwise, ensure that the 'doctor' role includes a "Yes" under Primary Role column.
- If another role, other then 'doctor' is set to Yes under "Primary Role", click the Upate button associated with doctor role:
- This sets the 'doctor' role as Primary
NOTE: It is recommended to provide users at least the 'doctor' role for clinical and administrative access. The 'admin' role is optional and should be considered carefully as it allows the user to change OSCAR wide settings, modify user accounts, etc.
Roles and their access may differ from clinic to clinic depending on custom settings.
One way to approach role assignment is to simply match the roles of an existing provider who has the appropriate level of access.
4) Adding the account to group messenger (Optional)
In order to appear in the Msgs section of OSCAR, each user must be added separately outside of account creation:
- Navigate to Administration > System Management > Messenger Group Admin
- Check the box of users you'd like to add or remove from Group Messenger
- Click Update group members to save
5) Adding A Doctor To An Existing OLIS Connection (Optional)
In order to register a physician with OLIS, you must match their OSCAR credentials with CPSO.
- Conduct a search on the CPSO Doctor Registry.
- Navigate to Administration > User Management > Search/Edit/Delete Provider Record and select the Physician's provider record.
- Ensure that CPSO, Official First Name, Official Second Name, Official Last Name and OLIS Identifier Type are filled out.
- Click Update Record to save
6) Register a Physician with OneID (Optional)
Scroll to the bottom and complete the online form: Register for OneID
7) Registration with Electronic lab delivery
