In this video, I walk you through how to effectively use the incoming docs feature in the Classic Inbox. I explain the steps to ensure the Pro Inbox toggle is off and how to navigate through your documents. I also cover the different sections available in incoming docs, including queue management and data entry modes. Please make sure to follow along and try out the features as I demonstrate them!
0:00 Hi there. In today's video, we're going to be going over how to utilize the incoming docs option within your
Classic Inbox.
0:10 In order to have the Classic Inbox, we need to ensure that the toggle is off for the Pro Inbox. So that's going to
be done with your crest icon in the very top left corner from your schedule view.
0:24 By clicking on the crest, you'll see your options for your inbox and prescriptions and we want to ensure that the
toggle is off for the inbox.
0:32 We can click the crest icon to close that if needed. Now we're going to go into our inbox. Now you can enter
your inbox either with the inbox icon or with the asterisks.
0:44 That's going to load for you the Classic Inbox. What we're going to be reviewing is going to be the incoming
docs, which is going to be available in the top right corner.
0:53 Incoming docs is going to have three sections. It's going to have your queue, it's going to have a page, and a
data entry mode.
1:03 From here, under your queue, you'll see that you have different folders for fax, mail, file, and refile. Currently,
we can see within our fax that we have three documents.
1:20 Under the Select PDF, it'll list all of your documents that are within your inbox within that queue folder. It is
currently displaying Document 1.
1:30 If I wanted to view Document 2, I can select it, and that'll load it there for us. You also have buttons here that
you are able to use in order to navigate through your PDFs.
1:42 So, if I wanted to go to the next one, I can click on Next, and you'll see here up at the top, it is now showing
three of three.
1:49 If I wanted to go back to the first document, I can click on the first button, and that'll navigate me back to the
first document.
1:55 Under Page is going to be where you're able to select particular pages of your document that you're viewing.
We can see here on the side that it is one of four pages.
2:08 If I wanted to view page 2 or page 3 or page 4, I can select that from the drop-down of the pages, and that'll
load that page for us.
2:17 Alternately, you can have buttons here as well for first page, previous page, next, or the last page. You have the
options here of rotating, and that is going to be done per page.
2:31 You have an option of extracting. So, for instance, if you needed to extract pages from your larger document to
make smaller documents, we can do that with the extract page button.
2:48 That'll load for you a little window here where you're able to indicate what page you need to have extracted.
So, for instance, it loads with one of one that we need to remove.
2:59 If we needed to remove one of two, so pages one through two, we can enter that in. Alternately, you can also
just enter in specific page numbers with commas between them as well.
3:11 By clicking the OK, that's going to extract pages one and two for us. Now, you'll see at the top, we now only
have one of two, and you can see within our facts queue that that has now increased to four pages, to four items.
3:27 So, we now have the other two pages that are available as the fourth document here. Under data entry mode is
going to be where you're able to assign the document to a patient as well as a provider.
3:44 You have two modes to utilize with that. You have a normal mode as well as a fast mode. With normal mode,
we're going to select a type.
3:54 You have a subclass that you're able to select from as well, and you have a subclass and a sub in a description
box that you're able to type in.
4:06 Enter in description. Whatever you have typed inside of your subclass, by clicking your cursor into the
description box, it'll also pop up.
4:15 It'll populate that information for you. Ultimately, you can enter in something different under your description
box if needed. From your demographic box, the text box there, you're going to be searching for a demographic to
attach to.
4:33 You're able to search by last name, comma, first name, and select the appropriate patient. Once you have
selected a patient, you'll have demographic buttons that you can utilize if needed.
4:45 The M here will load their map. The H record for you. The H here will load their appointment history. The MRP
will automatically be flagged.
5:03 You can remove if needed or you can search for an alternate provider. You have save and next in order to load
the next document.
5:13 Now you can see up at the top again, our fax queue has dropped down to three items now that we have
assigned the one item.
5:25 With that data entry mode, as said, that there is a fast option. By switching that to a fast mode, it's going to
utilize buttons for your document type.
5:38 By clicking off one of the buttons here, that'll update your type. You then have your class and your subclass that
you're able to type in, to assign, and then again, your patients.
5:56 It'll list patients that you've recently assigned items to. You can select them again from there, should you need to
utilize that patient, or you can search again for an alternate patient.
6:07 Buttons will also be loaded for your providers. You're able to again search for a provider or you can click off one
of the buttons and that will flag that provider for you.
6:20 The buttons will be showing their initials. And again, save the next to file that one off. Now there are again the
different folders up at the top under your queue.
6:33 These folders can be utilized when you are uploading your scanned documents. I'm going to close off our
incoming docs and that's going to bring us back to our regular inbox page.
6:44 From here, you'll have a doc upload option in the very top right. That'll open for you a new window. From here,
we want to click on add files and we're able to select additional items that we wish to load into our inbox from here.
7:02 You can select multiple items that you need to upload and then click upload. Open. That'll list for you any of the
items here that you have selected.
7:13 We want to ensure that our destination here is showing as incoming docs. Your queue will show as default, but if
you have alternate queues that you need to utilize, you can utilize those from here as well.
7:27 Next, you'll have a folder option. If I wanted to add these to the file folder, I can click off file.
7:36 Up at the top, we would click on Start Upload. You can cancel your upload at any time. It'll show you that the
items have successfully uploaded, and we can close that window off.
7:50 We can now go back into our incoming docs. We want to ensure that the appropriate queue is selected, and
then you can select your different folder.
8:04 Now that we've selected our file folder, we can see that we have five items in here. You can again select from
your drop-downs in order to assign them off.
8:15 Or use your buttons in order to navigate through them. That would be concluding the video today on how to
